Terms of Service
Last updated: 1 September 2026
These Terms of Service govern your access to and use of the VerdiCost platform. By creating an account or using the service, you agree to these terms. Please read them carefully.
1. The service
VerdiCost provides software that helps trade businesses upload and process invoices, receipts, and quotes; normalise materials; track supplier prices; and manage job costs. We may add, change, or remove features over time to improve the service.
2. Your account
You must provide accurate information when creating your account and keep your login details secure. You are responsible for all activity that takes place under your account and for the actions of team members you invite to your organisation. You must be at least 18 years old and authorised to act on behalf of your business.
3. Subscriptions and plans
VerdiCost is offered on subscription plans with different feature and usage limits. Plan limits, such as the number of documents you can process, are enforced within the app. Where paid plans apply, fees, billing cycles, and any applicable taxes will be made clear before you subscribe. Unless stated otherwise, subscription fees are non-refundable for the current billing period.
4. Acceptable use
You agree not to:
- Use the service for any unlawful purpose or to upload content you do not have the right to process.
- Attempt to gain unauthorised access to the platform, other accounts, or our systems.
- Interfere with, disrupt, or place undue load on the service.
- Reverse engineer, resell, or copy the platform except as permitted by law.
5. Your content
You retain ownership of the documents and data you upload. You grant us a limited licence to store and process that content solely to provide the service to you, including automated extraction of data from your documents. You are responsible for ensuring you have the right to upload the documents you submit.
6. Accuracy of extracted data
VerdiCost uses automated tools to read your documents. While we work to make extraction accurate, automated processing can make mistakes. Extracted figures are provided for your review and you remain responsible for verifying costs, prices, VAT, and totals before relying on them for accounting, tax, quoting, or business decisions. VerdiCost is a tool to assist you and does not constitute accounting, tax, or legal advice.
7. Third-party integrations
The service may offer integrations with third-party tools such as accounting software. Your use of any third-party service is governed by that provider’s own terms, and we are not responsible for third-party services.
8. Availability
We aim to keep the service available and reliable but do not guarantee uninterrupted access. We may carry out maintenance, updates, or changes that temporarily affect availability.
9. Limitation of liability
To the fullest extent permitted by law, VerdiCost is provided “as is” and we exclude implied warranties. We are not liable for indirect or consequential losses, loss of profits, or loss of data arising from your use of the service. Nothing in these terms limits liability that cannot be excluded under law.
10. Suspension and termination
You may stop using the service and close your account at any time. We may suspend or terminate access if you breach these terms or use the service in a way that harms other users or our systems. On termination, your right to use the service ends, and we will handle your data in line with our Privacy policy.
11. Governing law
These terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
12. Changes to these terms
We may update these terms from time to time. When we make significant changes we will update the “Last updated” date and, where appropriate, notify you within the app. Continued use of the service after changes take effect constitutes acceptance of the updated terms.
